Overview:
Perform back office and front office support to the Retail Investment Center.
Maintain a working knowledge of principles, practices and regulations governing IRAs, HSAs and time deposit instruments.
Responsibilities:
Follow instructions from and report all certificate and IRA problems to the Retail Investment Manager.
Responsible for reviewing and processing instructions on daily certificates maturity notice reports, perform modifications to assure accurate certificate renewals, and mail correspondence as required.
Identify and process certificate loan refinances and/or loan payoffs.
Coordinate with the IT Department biweekly to acquire a Certificate Maturity Report.
This report is examined and filtered to reflect only the certificates that must receive a maturity notice.
The finished report is sent to the IT Department for submission of the proper certificates to the printers.
Notify the Vice President of Retail Delivery and the Senior Vice President/Chief Financial Officer via email each week on closed jumbo certificate account totals.
Retrieve and observe HSA query reports for the following:
HSAs with negative balances - perform procedures for when a member incurs a negative balance.
HSAs with mistaken distribution contributions - a merchant has refunded a member's HSA distribution and the system has coded as a regular contribution.
Procedures are performed to recode refund as a mistaken distribution.
Daily submission of Cash Letter totals to accounting department for all incoming checks deposited within the Retail Investment Center.
Provide support to the Retail Investment Specialist I in preparing and mailing certificate loan letters, and forwarding copies to Documentation Management as well as the mass mailing of withholding notices.
Work all IRA and HSA decedent accounts by communicating with beneficiaries to provide guidance on available options based on IRA type and age of deceased member at time of death.
Prepares correspondence and documentation, processes beneficiary distributions, and establishes Inherited IRA accounts on our core system as well as the Distribution Software.
Retrieve, maintain, and email T-bill and Certificate Rate Outlook sheet to the Senior Vice President/Chief Financial Officer each week.
Read all internal publications including HUB and Possibilities.
Perform other job duties as assigned or required.
Qualifications:
Associate's Degree preferred1-3 years Three or more years of credit union related experience, preferably in the areas of Certificates, IRAs, HSAs and ESAs.
preferredInterviewing skills and/or previous financial experience.
Must be able to maintain numerical files and records accurately.
Must be accurate in all teller transactions with IRS reporting, penalties, and withholding.
Excellent verbal and grammar communication skills to communicate professionally.
A high degree of poise and tact to represent the credit union positively in outside contacts.
Ability to organize and prioritize work with minimum supervision.
Ability to work on multiple projects with flexibility for changing priorities; the ability to work with constant interruptions.
Must possess a high attention to detail in order to research and capture IRS coding errors.
Must be able to communicate with members and co-workers in a positive manner.
Must be accurate in all job duties to provide high, quality job performance.
Possession of a valid, unrestricted driver's license.
Organizational and analytical skills to multi-task, prioritize and complete required job duties.
Regular and reliable attendance is required.
Working knowledge of computer programs including IRA Service Center, Microsoft Word, Microsoft Excel, Microsoft Outlook, Ascensus Distribution Software and the internet desired.
Must have ability to operate or have ability to be trained to operate related office equipment, including calculator, check and receipt printers, computer terminal, multifunction copier, telephone and typewriter.
Must possess mathematical skills to be able to perform required calculations (i.
e.
calculate dividends, certificate penalties, share insurance coverage, required minimum distributions, life expectancy payments, excess contribution net income attributable, etc).
Must stay current on IRS regulations and procedures to be able to assist and provide accurate guidance to other employees and members.
Must be able to accept responsibility and make decisions within their scope of authority.
Assist others within the department and act as a back up to the Retail Investment Manager.
A high level of problem solving skills, and the ability to communicate all job processes in a clear, concise manner.
Participate and assist with special projects and or meetings as assigned.
Responsible for the review and approval of timecards as assigned by the Retail Investment Manager.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
